With cofenster, your whole team works on videos, from marketing to the colleagues who just contribute a quick clip. Here you'll learn who needs their own access, how to invite new users and what to do during offboarding.
Who needs a seat?
A seat is access to the cofenster web app with its own login. Everyone who creates projects, edits videos or requests contributions needs a seat.
Important: Anyone who only records a video contribution does not need a seat. Contributors simply open the recording link in their browser, no account required. More on this in the article "Contributing via browser: CoCapture".
Inviting new users
Managing users, invitations, roles and seats is reserved for the admin role. As an admin, you invite new team members directly from the web app. They receive an email invitation and set their password on first login. If your company uses single sign-on, new users sign in directly with their company account. Not sure who your admin is? Message us via the Messenger and we'll tell you.
Note: How many seats your plan includes depends on your contract. If all seats are taken, just message us via the Messenger. We'll find the right solution together.
Access to projects and team spaces
Projects live in team spaces that all members of the team can access. That way you work on videos together without sending files back and forth. The details are in the article "Working together as a team: sharing and editing projects".
Offboarding: when someone leaves the team
If a colleague leaves the company, please don't hand over the access by simply changing the name and email. Projects, contributions and settings are tied to the account, so we handle the handover cleanly for you.
Message us briefly via the Messenger: who is leaving and who takes over.
We transfer the seat and make sure no projects are lost.
The new person receives their own invitation with their own login.
Tip: If you're planning bigger team changes, for example a new department, talk to your Customer Success contact directly.
